How these answers are checked

Written and maintained by the SayInvoice editorial team. Product answers are checked against the dated SayInvoice product evidence register, and tax-related points link to official GOV.UK guidance. Qualified human review is credited only after the reviewer's identity, qualification, scope, date and permission are supplied and recorded.

What does SayInvoice actually do?

It turns spoken or typed job details into an editable quote or invoice draft. You check the customer, work, prices, VAT and totals before creating a PDF to save or share.

Does anything send automatically?

No. You always review the draft first. SayInvoice can open WhatsApp, email or your phone's share sheet with the PDF ready, but you complete the final send. “Sent” means you marked it sent; it does not prove the customer received, opened or read it.

What if SayInvoice mishears a name or price?

Edit any customer detail, line item, quantity, price, VAT rate or note before sharing. The app also flags details that appear incomplete or uncertain.

Can I create quotes as well as invoices?

Yes. Pro supports both. You can turn an accepted quote into a separate invoice draft, then review any extras or changes before sharing.

Can it remember repeat customers?

Yes. Saved client details can be reused when the app recognises that customer on a later job. On Pro, private site notes remain private and do not appear on customer PDFs.

Can I keep receipt photographs and job photos?

Yes. Receipts stay private. Job photos also stay private unless you deliberately select them for a customer PDF. Photo allowances vary by plan.

Does receipt scanning fill everything in for me?

It suggests supplier, date, category, total and VAT details. You check and confirm those suggestions before using the cost or adding receipt evidence to an accountant pack.

What if a photo says “Couldn’t sync”?

Open History → Photos & Costs → Uploading, open the item and choose Retry sync. Stay signed in until any device-only photos finish syncing.

How does VAT work?

Your profile supplies the default VAT rate. Saying “no VAT” or an explicit rate in the recording overrides that default for the current document. You should always check the final VAT treatment.

What are the free and paid plans?

New accounts can create five documents free. Invoice Only includes unlimited invoices and accountant export. Pro includes unlimited quotes and invoices, insights, private notes and quote and invoice follow-up tools. Usage limits are shown in your account.

Does SayInvoice collect or reconcile customer payments?

No. PDFs can include your bank details, and you can manually mark invoices or deposits as paid. SayInvoice does not verify those statuses against a bank feed or reconcile payments. SayInvoice subscriptions themselves are handled by Stripe on the web or Apple in the iPhone app.

Are overdue reminders sent directly to customers?

No. Private reminders alert you and can prepare an editable message. You review it, choose how to share it and complete the send yourself.

What is in the accountant pack?

The current export is invoice-only: a workbook with VAT, expected CIS, deposit, payment, confirmed-cost and attention checks, plus matching invoice PDFs and confirmed receipt photographs for your accountant to review. Expected CIS figures still require your confirmed inputs and review.

How does SayInvoice handle CIS?

SayInvoice can show an expected CIS deduction using the rate and labour/material values you confirm. It does not verify subcontractors, decide whether CIS legally applies or file CIS returns. Check the current official GOV.UK CIS deduction guidance, ask your accountant when needed and verify the figures before use.

Does SayInvoice connect directly to Xero?

Limited web beta, where enabled: review each invoice or bill draft before exporting to Xero. Optional payment recording needs separate review and confirmation. It does not collect money or reconcile your bank. New connections are subject to availability.

Does it submit VAT, CIS, Making Tax Digital updates or tax returns?

No. SayInvoice prepares editable documents and records for review. It does not file with HMRC, verify tax treatment or replace an accountant.

Does it create structured e-invoices?

No. SayInvoice creates PDFs you choose how to share. A PDF is not structured system-to-system e-invoicing.

Does SayInvoice store my recording?

Raw audio is processed to produce the requested draft and is not intentionally retained as a permanent customer file. Saved records can include the resulting transcript and document details. See the Privacy Policy for full information.

Can I use SayInvoice in a browser or on iPhone?

Yes, with two distinct routes. The browser workspace runs in supported modern browsers on computers, Android devices, iPhone and iPad. The native iPhone app is available on the App Store as a separate download. Both use your SayInvoice login and cloud workspace. Private iPhone follow-up alerts are native-only; browser push controls are not supported. Website subscriptions are managed through Stripe, while subscriptions bought in the native iPhone app are managed by Apple.
