Terms for using SayInvoice
These terms explain the rules for using SayInvoice to create, review, save, share, and manage professional
quotes and invoices. Please read them before using the app.

Agreement
Accepting these terms
By creating an account, starting a subscription, using the app, or using the website, you agree to these
terms and the privacy policy. If you use SayInvoice for a business, you confirm that you are allowed to
accept these terms for that business.
SayInvoice is intended for UK trade, sole-trader, and small-business use. It is not designed for children
or for personal household use. If consumer rights apply to you by law, nothing in these terms removes those
rights.
Service
What SayInvoice does
SayInvoice helps you turn job notes into quote and invoice drafts, review those drafts, save client details,
manage document history, export PDFs, and share documents with customers. Features may vary by plan, device,
browser, account status, and available integrations.
Accounts
Your account responsibilities
- Keep your login, device, browser, and email account secure.
- Use accurate account and billing information.
- Do not share access with someone who should not see your customer, invoice, quote, or billing data.
- Tell us promptly if you believe your account has been accessed without permission.
- Make sure any customer or third-party data you enter is data you are allowed to use for your business.
Plans
Free use, paid plans, and prices
SayInvoice may offer a free allowance and paid monthly subscription plans. Current paid plans include an
Invoice Only plan and a Pro plan with quote and invoice features. Prices, plan limits, and included
features are shown in the app or during payment and may change over time.
- Paid subscriptions are handled through our payment provider.
- Taxes, currency, and billing details are shown during payment or in your billing tools where applicable.
- Some older or legacy plans may continue for existing customers but may no longer be offered to new customers.
- We may update plan names, features, limits, pricing, or free allowances. If a change materially affects an active paid subscription, we will take reasonable steps to tell you before it applies.
Billing
Subscriptions, cancellations, and refunds
- Subscriptions renew automatically each billing period until cancelled.
- You can cancel through the billing tools where available, or by contacting support if you cannot access them.
- If you cancel, your paid features usually remain available until the end of the current paid billing period.
- Except where required by law or expressly stated during payment, payments for billing periods that have already started are not automatically refundable.
- If a payment fails, we may restrict, pause, or end paid features until billing is resolved.
- We may correct pricing, billing, or tax errors where reasonably necessary.
Referrals
Referral programme terms
If referral features are available, they are offered to reward genuine paid customers who introduce new
customers to SayInvoice. Referral discounts and rewards are checked against account and payment records so
they only apply where the referral is genuine and eligible.
- Only active paid users can refer friends unless we make an exception in writing.
- Free, admin, test, inactive, unpaid, or cancelled users may be blocked from generating or using referral rewards.
- A referred friend may receive 50% off their first month only if they are eligible and use a valid referral link or code before becoming a customer.
- The referrer only earns a reward after the referred friend completes their first successful subscription payment.
- Referrer rewards can stack, but each new customer can only create one referral reward.
- Existing customers, previously paid customers, and cancelled-but-previously-paid customers cannot redeem a referral code as a new customer.
- Self-referrals, fake accounts, duplicate accounts, abuse, chargebacks, refunds, failed payments, or suspicious activity can result in blocked, voided, or reversed referral rewards.
- Referral rewards usually apply as account credit, a discount, or an equivalent billing adjustment. They have no cash value and cannot be transferred or withdrawn.
- We may change, pause, or withdraw the referral programme if needed to protect the service, comply with payment rules, or prevent abuse.
Review
You must check documents before sending
SayInvoice creates drafts. You are responsible for checking and approving every quote, invoice, client
detail, VAT setting, payment term, total, bank detail, due date, note, and document number before you send
it to anyone.
- Do not send a document unless you are satisfied it is accurate and appropriate for your business.
- Keep your own business, accounting, and tax records.
- Speak to an accountant, tax adviser, or solicitor where you need professional advice.
- SayInvoice is not accounting, tax, legal, credit-control, or financial advice.
AI
Voice and AI-generated output
Voice transcription and AI drafting can make mistakes. Names, addresses, line items, prices, tax treatment,
totals, and dates may be misunderstood or incomplete. You remain responsible for the final document and any
decision to send, save, rely on, or share it.
Customer data
Information about your customers
You decide what customer and job information to enter into SayInvoice. You are responsible for having a
lawful reason to use that information, telling customers where required, and making sure the information is
accurate enough for your business documents. We use that information to provide the app to you.
Acceptable use
Rules for using the service
- Do not use SayInvoice for unlawful, fraudulent, misleading, abusive, or harmful activity.
- Do not create fake invoices, impersonate another business, or send documents you know are inaccurate.
- Do not upload malware, attempt to bypass security, scrape the service, reverse engineer private code, or overload the service.
- Do not use SayInvoice to spam, harass, threaten, or unlawfully contact people.
- Do not upload special category data, criminal offence data, or highly sensitive information unless it is genuinely necessary for your lawful business use.
- Do not remove watermarks, plan limits, security controls, or billing restrictions except through features we provide.
Third parties
Connected services and sharing
Some features depend on third-party services, including secure account storage, payment processing, voice
and AI processing, error monitoring, hosting, email apps, WhatsApp, Messages, and browser or device sharing
tools. Their availability, terms, privacy practices, and outages are not fully controlled by SayInvoice.
If you choose to share a document or referral link through another app, you are responsible for checking the
recipient, message, attachment, and destination before sending.
Availability
Service changes and downtime
We work to keep SayInvoice available and reliable, but we do not guarantee uninterrupted access. The service
may be affected by maintenance, updates, hosting issues, browser changes, third-party outages, payment
provider issues, AI provider issues, or events outside our reasonable control.
We may add, change, limit, suspend, or remove features where needed to improve the product, protect users,
prevent abuse, comply with law, or keep the service commercially viable.
Ownership
Content and intellectual property
- You keep ownership of the business, client, quote, invoice, logo, and job information you enter.
- You give us permission to host, process, copy, display, and transmit that information as needed to provide, secure, support, and improve SayInvoice.
- SayInvoice, the website, app design, code, brand, templates, and product features belong to us or our licensors.
- You may use exported PDFs for your own lawful business purposes.
- If you give us feedback or suggestions, we may use them without owing payment or ownership rights to you.
Suspension
When we can restrict an account
We may suspend, restrict, or close an account if we reasonably believe it is being used unlawfully, creates
security risk, abuses referrals, avoids billing, threatens the service, infringes rights, or breaches these
terms. Where appropriate, we will try to give notice, but urgent action may be needed to protect the service
or other users.
Liability
Limits of responsibility
Nothing in these terms excludes liability that cannot be excluded by law, including liability for death or
personal injury caused by negligence, fraud, or fraudulent misrepresentation.
Subject to that, SayInvoice is provided as a practical business tool. We are not responsible for indirect
losses, loss of profit, loss of business, loss of opportunity, loss of goodwill, or losses caused by
inaccurate information you approve and send. To the fullest extent allowed by law, our total liability
relating to the service is limited to the greater of the fees you paid to SayInvoice in the three months
before the issue arose or GBP 100.
Law
Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales will have
jurisdiction, except where applicable law gives you rights to bring a claim elsewhere.
