Terms for using SayInvoice

These terms explain the rules for using SayInvoice on the website or installed mobile app to create, review, save, share, and manage professional quotes, invoices, receipts, costs, and job photos. Please read them before using the app.

Agreement

Accepting these terms

By creating an account, starting a subscription, using the app, or using the website, you agree to these terms and the privacy policy. If you use SayInvoice for a business, you confirm that you are allowed to accept these terms for that business.

These terms apply to SayInvoice on the website, browser-based app screens, and any native mobile app version we distribute through an app store.

SayInvoice is intended for UK trade, sole-trader, and small-business use. It is not designed for children or for personal household use. If consumer rights apply to you by law, nothing in these terms removes those rights.

Service

What SayInvoice does

SayInvoice helps you turn job notes into quote and invoice drafts, review those drafts, save client details, organise receipt and job photos, prepare accountant exports, export PDFs, and share documents with customers. Features may vary by plan, device, browser, account status, storage allowance, and available integrations.

Accounts

Your account responsibilities

  • Keep your login, device, browser, and email account secure.
  • Use accurate account and billing information.
  • Do not share access with someone who should not see your customer, invoice, quote, or billing data.
  • Tell us promptly if you believe your account has been accessed without permission.
  • Make sure any customer or third-party data you enter is data you are allowed to use for your business.

Plans

Free use, paid plans, and prices

SayInvoice may offer a free allowance and paid monthly subscription plans. Current paid plans include an Invoice Only plan and a Pro plan with quote and invoice features. Prices, plan limits, and included features are shown on the website, in account billing tools, or during payment and may change over time.

  • Website subscriptions are processed by Stripe. Subscriptions purchased in the iOS app are processed through Apple In-App Purchase.
  • Taxes, currency, and billing details are shown during payment or in your billing tools where applicable.
  • The iOS app may offer Invoice Only and Pro through Apple In-App Purchase, including purchase restoration and App Store subscription management.
  • Some older or legacy plans may continue for existing customers but may no longer be offered to new customers.
  • Photo counts and storage allowances may vary by plan. The app may pause new uploads at the allowance and may remove only unassigned “save for later” photos after the warning period shown in the app. Photos and receipts already assigned to a job or cost are not removed by that tidy-up rule.
  • We may update plan names, features, limits, pricing, or free allowances. If a change materially affects an active paid subscription, we will take reasonable steps to tell you before it applies.

Billing

Subscriptions, cancellations, and refunds

  • Subscriptions renew automatically each billing period until cancelled.
  • You can cancel through the billing tools where available, or by contacting support if you cannot access them.
  • If you permanently delete your SayInvoice account in the app, active SayInvoice website subscriptions are cancelled immediately.
  • Deleting your SayInvoice account does not automatically cancel a subscription purchased from Apple. Apple subscriptions must be cancelled through App Store subscription settings.
  • If you cancel, your paid features usually remain available until the end of the current paid billing period.
  • Except where required by law or expressly stated during payment, payments for billing periods that have already started are not automatically refundable.
  • If a payment fails, we may restrict, pause, or end paid features until billing is resolved.
  • We may correct pricing, billing, or tax errors where reasonably necessary.

Account deletion

Deleting your account

You can initiate permanent account deletion from Settings in the app. You must confirm your current password and the permanent deletion warning.

  • Your active account data, including profiles, clients, quotes, invoices, receipt and job photos, cost records, settings, insights, and private logo files, is deleted.
  • Any active SayInvoice website subscription is cancelled immediately.
  • Any Apple subscription must be cancelled separately through App Store subscription settings.
  • Previous charges are not automatically refunded.
  • Billing, tax, fraud-prevention, dispute, or diagnostic records may be retained or anonymised where legally required.

Referrals

Referral programme terms

If referral features are available, they are offered to reward genuine paid customers who introduce new customers to SayInvoice. Referral discounts and rewards are checked against account and payment records so they only apply where the referral is genuine and eligible.

  • Only active paid users can refer friends unless we make an exception in writing.
  • Free, admin, test, inactive, unpaid, or cancelled users may be blocked from generating or using referral rewards.
  • A referred friend may receive 50% off their first month only if they are eligible and use a valid referral link or code before becoming a customer.
  • The referrer only earns a reward after the referred friend completes their first successful subscription payment.
  • Referrer rewards can accumulate without a SayInvoice limit, but each new customer can only create one referral reward.
  • Website subscription rewards are normally applied automatically as billing credit. App Store referral discounts use private offer codes, while earned referrer months use signed promotional offers. Both remain subject to Apple's eligibility and availability rules.
  • Existing customers, previously paid customers, and cancelled-but-previously-paid customers cannot redeem a referral code as a new customer.
  • Self-referrals, fake accounts, duplicate accounts, abuse, chargebacks, refunds, failed payments, or suspicious activity can result in blocked, voided, or reversed referral rewards.
  • Referral rewards usually apply as account credit, a discount, or an equivalent billing adjustment. They have no cash value and cannot be transferred or withdrawn.
  • We may change, pause, or withdraw the referral programme if needed to protect the service, comply with payment rules, or prevent abuse.

Review

You must check documents before sending

SayInvoice creates drafts and suggestions. You are responsible for checking and approving every quote, invoice, client detail, receipt field, cost category, VAT setting, payment term, total, bank detail, due date, note, photo, and document number before you send, export, or rely on it.

  • Do not send a document unless you are satisfied it is accurate and appropriate for your business.
  • Keep your own business, accounting, and tax records.
  • Speak to an accountant, tax adviser, or solicitor where you need professional advice.
  • SayInvoice is not accounting, tax, legal, credit-control, or financial advice.

AI

Voice, receipt scanning, and AI-generated output

Voice transcription, AI drafting, and receipt-image analysis can make mistakes. Names, suppliers, addresses, line items, categories, prices, VAT, tax treatment, totals, and dates may be misunderstood or incomplete. You remain responsible for the final document or cost record and any decision to send, save, export, rely on, or share it.

Customer data

Information about your customers

You decide what customer and job information to enter into SayInvoice. You are responsible for having a lawful reason to use that information, telling customers where required, and making sure the information is accurate enough for your business documents. We use that information to provide the app to you.

The same responsibility applies to receipts and photographs. Only capture or upload images you are entitled to use, avoid unnecessary personal or sensitive information, and check what will be included before sharing a customer PDF or accountant pack.

Acceptable use

Rules for using the service

  • Do not use SayInvoice for unlawful, fraudulent, misleading, abusive, or harmful activity.
  • Do not create fake invoices, impersonate another business, or send documents you know are inaccurate.
  • Do not upload malware, attempt to bypass security, scrape the service, reverse engineer private code, or overload the service.
  • Do not upload photographs or receipts that you do not have the right to store, process, or share.
  • Do not use SayInvoice to spam, harass, threaten, or unlawfully contact people.
  • Do not upload special category data, criminal offence data, or highly sensitive information unless it is genuinely necessary for your lawful business use.
  • Do not remove watermarks, plan limits, security controls, or billing restrictions except through features we provide.

Third parties

Connected services and sharing

Some features depend on third-party services, including secure account and photo storage, payment processing, voice, receipt-image and AI processing, error monitoring, hosting, email apps, WhatsApp, Messages, and browser or device sharing tools. Their availability, terms, privacy practices, and outages are not fully controlled by SayInvoice.

Apple and other app stores may distribute the mobile app and process subscriptions purchased through their platforms.

If you choose to share a document or referral link through another app, you are responsible for checking the recipient, message, attachment, and destination before sending.

Optional accounting connection

Connecting to Xero

Xero is an optional limited web beta, available only where enabled. New connections are subject to availability. The published iPhone app does not include this integration.

Xero integration is available only where enabled for your account or build. Before connecting, you must explicitly accept the Xero sharing disclosure in SayInvoice and authorise access in Xero. We record the disclosure version and time of your acceptance. Connecting an organisation requires authority to share its information and the customer, supplier and attachment information you select.

You choose the organisation, account and VAT setup, records and attachments, then review before export. Exports create draft sales invoices or bills. Quotes are not exported as income. Invoice PDFs, receipt photos and selected invoice-linked job photos may be shared where enabled and reviewed. Check that you have the right to share them, including any personal information they contain.

Optional payment recording requires a separate review and explicit confirmation of the amount, date and receiving account. Confirmation may approve a draft invoice in Xero before recording the payment. It does not collect or transfer funds, reconcile your bank, or submit a tax return. You remain responsible for accurate records and appropriate accounting advice.

We require stronger sign-in verification for Xero access. You can disconnect in SayInvoice to stop future sharing and revoke the connection in Xero. Disconnection or deleting your SayInvoice account does not delete records already created in Xero. Xero's own terms, privacy practices and availability apply to its service.

Availability

Service changes and downtime

We work to keep SayInvoice available and reliable, but we do not guarantee uninterrupted access. The service may be affected by maintenance, updates, hosting issues, browser changes, third-party outages, payment provider issues, AI provider issues, or events outside our reasonable control.

We may add, change, limit, suspend, or remove features where needed to improve the product, protect users, prevent abuse, comply with law, or keep the service commercially viable.

Ownership

Content and intellectual property

  • You keep ownership of the business, client, quote, invoice, receipt, cost, logo, job-photo, and job information you enter.
  • You give us permission to host, process, copy, display, and transmit that information as needed to provide, secure, support, and improve SayInvoice.
  • SayInvoice, the website, app design, code, brand, templates, and product features belong to us or our licensors.
  • You may use exported PDFs for your own lawful business purposes.
  • If you give us feedback or suggestions, we may use them without owing payment or ownership rights to you.

Suspension

When we can restrict an account

We may suspend, restrict, or close an account if we reasonably believe it is being used unlawfully, creates security risk, abuses referrals, avoids billing, threatens the service, infringes rights, or breaches these terms. Where appropriate, we will try to give notice, but urgent action may be needed to protect the service or other users.

Liability

Limits of responsibility

Nothing in these terms excludes liability that cannot be excluded by law, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.

Subject to that, SayInvoice is provided as a practical business tool. We are not responsible for indirect losses, loss of profit, loss of business, loss of opportunity, loss of goodwill, or losses caused by inaccurate information you approve and send. To the fullest extent allowed by law, our total liability relating to the service is limited to the greater of the fees you paid to SayInvoice in the three months before the issue arose or GBP 100.

Law

Governing law

These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, except where applicable law gives you rights to bring a claim elsewhere.
